Why these two jobs

The phone company cannot fix your website, and your web developer does not know the carriers' rules

Since 2023, a business that texts customers from a normal local number has to be registered with the mobile carriers first. The registration is called A2P 10DLC, and it works like this: you register your company, describe what you will text people about, and the carriers' reviewers approve or reject it. Their first questions are about your website: is there a visible place where customers agree to receive texts, does your privacy policy say what happens to their phone number, is there a page of texting terms, and do the sample messages match what you said you would send. RingCentral's own community forums carry threads of businesses waiting eight months through ten or more rejections, almost always for one of those reasons. The phone company cannot edit your website and your web developer has never heard of the registry, which is the gap this job fills.

The phone setup is the other job nobody packages. Moving to RingCentral, Teams Phone, Zoom Phone, Dialpad, Nextiva or 8x8 is mostly configuration and one risky step: moving your existing numbers from the old carrier (the industry calls it number porting). About 60 percent of those moves are rejected because the address on the order does not match the address on the old carrier's file, according to Bandwidth, and the rest fail on the business name, the account number or PIN, a pending order or an unpaid bill. We read your current bill before ordering, include the first resubmission, and keep the old phones working until the new system is answering. Two Florida details are built in. Every phone and app has a registered address so a 911 call reports where you actually are (the industry calls this E911), and it is updated when people move. And Florida requires the consent of everyone on a call before it is recorded, so every line that records announces it, in both languages, before the call connects. Fax, where you still need it, arrives in your email instead of on a machine on a line you are paying for.

Texting approval is a website job sold by phone companies. That is why it fails, and why a software company can fix it.

Alarm, elevator and fax lines on the same carrier account are left where they are or moved deliberately, and noted in writing; alarm work itself is out of scope and goes to a licensed contractor who contracts with you directly. An early termination fee on your old carrier contract is your cost, and we flag it before ordering the move.

The switchover week

How moving your phones runs, day by day

A five-user setup normally runs in one to two weeks, with the date your numbers move set by the carriers. Your old phones keep working until the new system answers.

Read the bill, then order the number move

We take your current carrier bill and copy the service address, business name, account number and PIN exactly as they appear, because about 60 percent of rejections are an address that did not match. We flag any early termination fee and any alarm, elevator or fax line on the account before anything is ordered. The order goes in with a requested date.

Build the system while the move is pending

Users and extensions, the app on each person's computer and phone, the menu with its English and Spanish options, business hours and the holiday schedule, voicemail to email, the ring group, the 911 address on every device, and the recording announcement on any line that records. Temporary numbers let everyone test before the switchover.

Days 2 to 5

Handle a rejection, if there is one

If the old carrier rejects the move, we read the reason, correct the order and resubmit the same day. The first resubmission is included. Nothing else changes: your old numbers keep ringing the old phones until the move completes.

We test calls in and out on every user, the menu in both languages, voicemail delivery and the 911 address. An after-hours or weekend switchover is a published flat price; having someone on site that day is priced by the hour.

Which phone platform should we choose?

Any of the ones we set up runs a small office well, and our price is the same for each. RingCentral and Nextiva are the usual choices for an office that wants a complete phone system with desk phones and call queues; Zoom Phone and Dialpad suit teams already living in those apps; 8x8 is common where international calling matters. Microsoft Teams Phone makes sense when everyone is already in Teams all day and you would rather have one app, and it carries a published add-on because it takes two to four hours more to set up. We will tell you which fits your call volume and your staff before you buy licences, and the licences are billed at cost.

What does the $695 phone setup include and assume?

It covers up to five users in one office with working internet: every user calling and receiving on app and phone, your main number ringing the new system once moved, one menu with an English and a Spanish option plus business hours and a holiday schedule, voicemail delivered to email, one group of phones that ring together, and a written diagram of where every call goes. Why do number moves get rejected, and what happens when ours is?

Most are rejected over an address. Bandwidth, one of the carriers that handles these moves, says about 60 percent fail because the service address on the order does not match the address on the old carrier's file. The rest fail on the business name, the authorised name, the account number or PIN, a pending order on the account, or an unpaid bill. That is why we copy every field from your current bill rather than from memory. If the move is rejected anyway, we read the reason, correct the order and resubmit the same day; the first resubmission is included and later ones have a published price. Your old numbers keep ringing the old phones until the move completes, so a rejection costs time, not calls.

Will our phones stop working during the switch?

No. The new system is built and tested on temporary numbers while your old carrier is still answering your real numbers. On the move date your main number moves to the new system, usually within a short window on a business day, and we test every user, the menu, voicemail and the 911 address the same hour. Nothing on the old account is closed until you confirm everything you still need has moved, including any alarm, elevator or fax line that was sharing the account.

What is A2P 10DLC, and why were our texts rejected?

It is the registration the US mobile carriers require before a business can text customers from a normal ten-digit local number. You register your company, describe what you will text about, and reviewers approve or reject it. Rejections almost always point at the website: no visible place where customers agree to receive texts, a privacy policy with no clause about phone numbers and texting, missing texting terms, or sample messages that do not match what you said you would send. Reviewers return one problem per cycle and each cycle takes at least 48 hours, which is how businesses end up with months of rejections. Fixing the web pages first is most of the job.

Our website is controlled by another developer. Can you still get us approved?

Yes. If your developer applies our written specification for the sign-up form, the privacy policy clause and the texting terms, there is $0 extra. If they cannot or will not, we host a compliance page at an address under your own domain for a published price and point the registration at it, which the reviewers accept. Either way the job is the same: approval, with a test text sent and received.

Our legal name on the application does not match the IRS. What then?

The job pauses at no charge until the record matches. The registry checks your legal name and federal tax ID (EIN) against IRS records, and a mismatch is an automatic rejection that no amount of resubmitting fixes. You correct it with the IRS, usually by requesting the CP 575 or 147C letter that shows the name exactly as the IRS has it, and the job resumes when the record matches. We do not file anything with the IRS on your behalf; we tell you exactly what to ask for.

Can the phone menu and greetings be in Spanish?

Yes, and the base setup already includes a menu that offers English and Spanish. Greetings use a computer voice or a recording you provide; if you want a studio-quality bilingual recording we order it at cost plus a published handling fee, because we do not voice greetings ourselves. Training for the people who answer the phones is available in either language, and the recording announcement plays in both.

Can we record calls?

Yes, with one Florida rule built in: Florida requires the consent of everyone on a call before it is recorded, so every line that records plays an announcement in English and Spanish before the call connects. We set recording per user or per queue, keep recordings for as long as you choose, and document which lines record so nobody is surprised later. Where you also do business with other states, announcing it to everyone is the safe default everywhere.

What about 911 from an internet phone?

Every phone and app gets a registered address so a 911 call reports where you actually are, and it is updated when a person moves desks or works from home. On Teams Phone this is part of the add-on; on the other platforms it is part of the base setup. The list of 911 addresses is one of the documents you receive, and it is the first thing to update when someone changes location.

We still need to receive faxes. Do we keep a fax line?

Usually not. Fax to email, a published variation, gives you a fax number that delivers each fax as a PDF to a mailbox and lets you send from your computer, which removes the machine and the line you were paying for. Where a fax number has to be moved from the old carrier, that is a separate order with a published price and can take up to 15 business days. Any fax line that an alarm or an elevator also uses is left on the old account deliberately and noted in writing.
