The firms that could take that off your hands mostly sit in Fort Myers, and almost none of them say what they charge. Of the Southwest Florida providers we read one by one, almost none publishes a price, none publishes a flat small-office plan, and none mentions Spanish.

The Cape also has a date on its calendar that Miami does not take as personally. Being ready, in IT terms, is simple: your files and your phones live in the cloud rather than on a machine in a building that may lose power for a week, there is a second internet connection (cellular or satellite) that takes over on its own when the cable goes down, and there is a short written plan for the day the building is not usable. What do you do about hurricane season?
Three things, in May and June before the season starts. First, we make sure your files, email and phones live in the cloud and not on a machine in a building that may lose power or flood. Second, we add a second internet connection, cellular or satellite, that takes over on its own when the cable goes down. Third, we write and test a short plan for the day the building is not usable: who calls whom, where the crew logs in from, how the phones ring. After Ian and Milton, Cape Coral businesses do not need convincing that this matters; they need it done before August.
Do you work in Spanish?
Yes, fully. Support comes in English and Spanish from the same desk on every plan, with no extra charge for either language, and your documents, training and monthly report are written in the language your business works in. We run QuickBooks Desktop on one computer in the office. Is that a problem?
It is the most common risk we find in Cape Coral businesses, and it is fixable. Intuit discontinued QuickBooks Desktop 2023 at the end of May 2026, and the editions still supported get a new price each year. During setup we put a real backup on that machine in the first week. Then we lay out the three options with the cost of each written down: host it on a server we look after so it opens from anywhere and is backed up for you, move to QuickBooks Online, or keep the desktop edition on a current version with a backup. We do not push one; your bookkeeper usually has a view and we work with it.
There is an old server in the back of our office. What happens to it?
We keep it safe for as long as it stays, and we give you a dated plan for replacing it. Many of those machines run Windows Server 2016, which Microsoft stops fixing on 12 January 2027; after that date it gets no security updates. On a plan it is watched, updated and protected at $175 a month while it lasts. Before that date we put a written plan in front of you: move the files to the cloud, host whatever program runs on it, or replace the server, each with a fixed price. Retiring an old server during a clean-up is $495.
Do you do cabling, cameras or the Wi-Fi in a new shop?
The Wi-Fi, yes; the cabling and cameras, no. The internet box, the network box and the Wi-Fi at your main office are included on Managed Office, and we set them up. Cabling, cameras, alarms, door access and anything electrical are licensed work in Florida and outside what we do; we refer you to a licensed low-voltage contractor who contracts with you directly, and we coordinate with them so the cables they pull land on the network we set up. No Appluex proposal ever says we install cabling.
Can you build a powerful computer for our designer or surveyor?
Yes, with a published build fee, which the Cape's own PC builders do not publish. A Studio build for photo, video and drawing work is $595 with a 2-year labour warranty; a Pro build for heavy 3D rendering or large survey files is $995 with 3 years. Parts are billed at cost plus a published sourcing fee, the quote is valid 72 hours because part prices move, and the machine is delivered and set up at your desk with no travel charge. How do your prices compare with the Fort Myers IT firms?
Hard to say precisely, because almost none of them publish a price. Of the Southwest Florida providers we read, almost all quote after a visit, and the few figures that exist are for a different list of inclusions. Managed Office is $149 per user, or $134 prepaid, and includes the security, backup and after-hours cover that elsewhere sit in a higher tier. The honest comparison is on paper: ask each firm for the same list of inclusions and the price for your actual headcount, and put it beside this page.
Our pool company texts customers before each visit. Why do the texts not arrive?
Because the phone carriers now filter business texts sent from an unregistered number. Any business texting from a software system or a shared number has to be registered with the carriers (the registration is called 10DLC), with a privacy policy and consent wording they accept, and most rejections are for the wording. We handle the registration, the policy text and up to 3 resubmissions for $495. A second campaign, such as marketing texts kept separate from appointment reminders, is $195.
I run the business from my house on a canal. Do you support home offices?
Yes, a great deal of Cape Coral works that way.
