The website moved to a new host and the email stopped, and nobody noticed until Monday. The phone company rejected business texting for the fourth time because approval depends on a privacy policy and a consent box on the website, which the phone vendor cannot touch. Mail lands in spam because the contact form, the invoicing tool and the scanner all send from the company's address and only half of them were ever registered as allowed senders. What happens when something extra turns up
Things show up after a job starts, because nobody mentioned them or nobody knew. These five rules keep a surprise from turning into a negotiation.
Every quote says what it assumes
How many users, how big the mailboxes are, that you can sign in to the account where your domain name is registered. If an assumption turns out to be wrong, the matching extra already has a published price, and you can see it on the same list the quote was built from.
Nothing extra without your written yes
Before any extra work, you get a short note: what was found, why it matters, the published price, approve or decline. An email or a click on the invoice page counts. Declining is always allowed and is recorded.
A setup nobody has looked at starts with a paid check-up
The $395 security health check, credited in full if a plan starts within 60 days. A messy setup found at the start is priced as its own clean-up project, never quietly absorbed into the monthly plan.
Work nobody can price in advance is hourly, with a ceiling
Recovering a locked-out account, cleaning up a hacked mailbox, handling a security incident: nobody can honestly fix a price for those. They run by the hour, $125 remote or $150 at your desk where we visit in person, against a maximum you approve first.

How much does IT support cost for a small business?
Appluex publishes every price. Help Desk Micro is $299 a month flat for up to 5 users, with users 6 to 10 at $59 each. Managed Office, which adds every computer watched, kept up to date and protected, email protection, a backup copy of your data and a password manager, is $149 per user per month with a minimum of 5 users, or $134 per user with a 12-month prepay. A business with its own IT person can buy a co-managed help desk at $79 per user. Microsoft or Google licences are billed at cost on top and are never hidden inside the plan. One-off work is priced per job, for example a single remote fix at $125.
What is included in a monthly plan?

Do you do network cabling, cameras, alarms or door access?
No. Cabling, cameras, alarm systems, door access and electrical work are outside what we do, and in Florida they belong to licensed low-voltage and electrical contractors. When a job needs them we refer you to a licensed contractor who contracts with you directly, and we handle the IT side, such as the Wi-Fi and the network the cameras will connect to. We do not resell or subcontract that work, so there is no markup and no question about who holds the licence.
Where do you come on site, and where is support remote?
Remote support wherever you are: Miami, the rest of Florida, or anywhere your business is. In-person visits are offered in Cape Coral, Fort Myers, Estero, Bonita Springs and Naples, in Lee and Collier counties, with no travel charge; a visit there is $150 an hour with a 1-hour minimum. There are no travel zones and no in-person service outside those five cities. Most support is done remotely within minutes, and the visit is for what genuinely needs hands on the equipment.
How fast do you respond?
Within 1 hour when nobody can work or a hack is suspected. Within 2 hours on Managed Office, and 4 hours on Help Desk Micro, when one person cannot work. The same business day when something is wrong but work continues, and the next business day for a request such as a new user. These targets are written into every plan, and every month you get a report showing the actual times, so you never have to take the promise on faith.
Do we own our accounts, or do you?
You own them, from the first day. The domain name is registered in an account the business controls, your Microsoft 365 or Google Workspace account lists you as the owner, the admin logins have named owners who work for you, and the phone and texting accounts are in the company's name. You also hold a spare emergency admin login, written down and tested. The documentation is handed over in full whenever you ask, so you can change provider at any time without asking us for anything. That is also the answer to the worry about putting everything with one company.
What are the contract terms, and how do we leave?
Every plan ends with 30 days' written notice, billed. Help Desk Micro is month to month, and its setup is free once you stay 3 billed months ($299 if you leave sooner). Managed Office runs month to month or on a 12-month agreement; the 12-month agreement waives the setup fee, which is otherwise one month of the plan. It renews for another 12 months unless you give notice before it ends, and ending it early costs that fee plus one month's fee. Paying the year up front takes the per-user price from $149 to $134. Every plan's price is locked for 12 months, after which any change follows the consumer price index and is capped at 4 percent a year. When you leave, the documentation, the accounts and the admin logins are already yours, we remove our own access and confirm it in writing, and any further clean-up is for your next provider.
Do you offer support in Spanish?
Yes. Everything is delivered in English and Spanish: the help desk, the documentation, the quotes, the monthly reports and the training. Phone systems we set up get their menus recorded in both languages. A large share of South Florida business is done in Spanish, and an IT provider should work the way the business works, not the other way round.
Do you serve Cape Coral and Fort Myers?
Yes, and in person. Appluex is headquartered in Miami, and the Southwest Florida work is based in Cape Coral, so Cape Coral, Fort Myers, Estero, Bonita Springs and Naples are the five cities where we come to your office, with no travel charge. Remote support, Microsoft 365 work, phone setups and email fixes are done the same way wherever the office is, in Miami or anywhere else; the visit is what Southwest Florida gets on top.
Who counts as a user on a per-user plan?
A user is a named person with a working company login on the first of the month, covered on up to 3 devices. Shared mailboxes such as info@ are free as long as nobody signs in with them as a person. Seasonal staff are billed only in the months their login is active. A shared or front-desk computer with no named user is $45 a month, and a second computer beyond the three devices is $35 a month. Each invoice uses the month's highest user count, users added after the 15th start the following month, and there is no splitting by days.
What happens after hours and on weekends?
On Managed Office your systems are watched around the clock, and after-hours coverage is in place so a night or a weekend never depends on one person being awake. Work you ask for outside business hours is billed at 1.5 times the normal rate, and overnight or holiday work at 2 times. A business that wants a guaranteed 1-hour response at any hour can hold an incident retainer at $2,400 a year for up to 25 users, which includes 6 prepaid hours.
Our setup is a mess. How do you handle that?
We start with a paid security health check of your Microsoft 365 or Google account at $395, which ends in a written report and is credited in full if a plan starts within 60 days. Anything found that is not up to standard is priced as a separate clean-up before the monthly fee starts: $95 per computer brought up to standard, $45 per user account cleaned up and $495 per old server or storage box retired, with a $495 minimum and 50 percent up front. Putting the clean-up on its own invoice is what keeps the monthly plan price honest for everyone.
Can you just fix one thing without a contract?
Yes. A single remote fix is $125 for up to 60 minutes with a 30-day guarantee on the same issue, and each extra 30 minutes is $65. Remote support by the hour is $125, a visit to your office in Cape Coral, Fort Myers, Estero, Bonita Springs and Naples is $150 an hour with a 1-hour minimum, and a prepaid block of 10 hours is $1,125 and stays valid for 12 months. The fixed-price jobs, such as fixing email that lands in spam at $295 per domain or a scanner that stopped emailing at $175 for the first device, need no plan either.
Is the scanner email change a deadline we have to meet?
No, there is no fixed deadline yet. Microsoft is switching off the old password-only sign-in that scanners and copiers use to send email, by default, at the end of 2026; an administrator can switch it back on, and the date it goes away for good has not been announced. Our scanner email fix is $175 for the first device and $75 for each additional one, and it moves the device to the newer sign-in method so the job is done once and properly rather than in a rush when the old method is finally removed.
