Most small businesses have a Microsoft or Google account that nobody is in charge of
It was set up by whoever was there at the time: the first employee, a web developer, GoDaddy when the domain name was bought. It works, in the sense that mail arrives. But nobody has looked at who holds the admin rights, which former employees still have a paid licence, whether everyone signs in with a code from their phone or only the people who agreed to it, and whether the one login that can fix everything belongs to someone who still works there.
Two things made this urgent in 2026. Microsoft now demands the phone code (called MFA, multi-factor authentication) for every sign-in to its admin screens, which has locked out owners who registered a phone they no longer have, and the way back in is a support case with proof of identity, not a password reset. And the list of what makes an account safe is now well known: the phone code for every person, rules on where and how people may sign in, the old password-only sign-in switched off, admin rights kept apart from daily accounts, a tested emergency login, an activity log, and alerts on the two things attackers do first, which are quietly forwarding your mail elsewhere and signing in from somewhere odd. That list is the security baseline on this page, and the health check that comes before it tells you how far from it you are.
We charge for the health check on purpose, $395, and credit it in full against the baseline or a plan started within 60 days. A free assessment is a sales pitch with a report attached. A paid one is a document you own, with the fixes ranked and priced, whether or not you hire us to do them.
Moving email is the other thing people put off, usually because of a horror story. The stories are real: an account bought through GoDaddy and cancelled in the wrong order deletes every user, and a mailbox over the size limit stalls the switch at eleven at night. They are also known in advance, which is why each one is a named, priced line on the quote rather than a surprise. We copy everything while the old service is still live, switch the mail over in a window under two hours, reconnect each person's Outlook and phone, and leave the old service readable for thirty days.
The one login that can fix everything should belong to you, protected with the phone code, with a spare emergency login stored, and written down. Everything else on this page is secondary to that.

Microsoft runs a promotional price on Copilot Business licences until 2026-12-31; licences are always billed at cost. A job pauses after 10 business days waiting on you and closes after 30. Jobs under $1,000 are paid when the work is done; $1,000 and over take 50 percent up front.
Moving your email, step by step
Most moves of up to ten mailboxes take one week, with the switch done in business hours. This is the sequence, so you know what is happening on each day.
Inventory and the plan
We list every mailbox with its size, every shared mailbox, every device that sends mail (the website form, the scanner, the invoicing tool), and confirm who can change the domain's settings within a business day. Anything that matches a priced extra, such as a mailbox over 50 GB, an account bought through GoDaddy or an old Outlook archive file, goes on the quote now, not at eleven at night.
New account ready, copying starts
The new account is set up or checked, users and shared mailboxes created, the phone code registered. Then the migration software copies mail, folders, contacts and calendars from the old service while it is still live, so nothing stops for anyone.
The switch
Incoming mail is pointed at the new account; during the change, mail is held for under two hours, not lost. A final copy picks up anything that arrived during the switch. By default this is in business hours, when we and you are both awake; a weekend or after-hours switch is a published flat extra.
Every person reconnected
Outlook and phones signed in to the new mailbox, the phone code confirmed, signatures and shared mailboxes back, a test message out and in for each person. Remotely by default; reconnecting people at your office is priced by the hour.
Thirty days readable, then closed
The old service stays readable for thirty days in case anything was missed, then is closed in the right order. You receive the handover document: every account, every owner, every setting, and where the emergency admin login lives.

Microsoft 365 or Google Workspace: which should a small business choose?
Either one runs a small office well, and we set up and support both at the same prices. Microsoft 365 is the usual choice where the team lives in Outlook, Excel and Teams, where an insurer or a larger client expects it, or where Windows computers will be managed from one place. Google Workspace is simpler to run and already includes its Gemini assistant in the paid plans, which suits a team that works in the browser. If you already have one of them and it works, the honest advice is usually to secure it rather than switch.
What does the $795 setup include, and what does it assume?
It includes a new account for up to five users: your domain name connected, every person signed in with the phone code on a computer and a phone, the old password-only sign-in switched off, an emergency admin login stored with the owner, Teams and shared folders, and a handover document listing who owns every account. It assumes a brand new account, one domain name you control, no existing email to move, licences bought by you or through us at cost, everyone available on day one to set up the phone code, and remote delivery. Users six to twenty-five are $49 each; a shared mailbox, a second domain name, an account someone already created on your domain, and no access to where the domain is registered are the extras priced above.
We bought Microsoft 365 through GoDaddy. Why is moving it a separate line?
Because done in the wrong order it deletes your users. An account bought through GoDaddy is tied to GoDaddy's systems. If GoDaddy's control is removed before the subscription is cancelled, their process can remove every user in the account, and if GoDaddy's mail filtering is still in your domain's settings when the subscription is cancelled, mail stops. Releasing the account means resetting every password, buying new licences in your own name and changing the domain's settings in a fixed order, which is why it is a named, priced line on the quote rather than something discovered on the night.
How long does moving our email take, and will we lose mail?
One week for up to ten mailboxes, with the switch done in business hours, and no mail is lost. Mail, folders, contacts and calendars are copied while the old service is still live, incoming mail is pointed at the new account in a window where it is held for under two hours, and a final copy picks up anything that arrived during the switch. The old service stays readable for thirty days so anything missed can be found. The price assumes mailboxes under 50 GB and an old service we can sign in to as administrator; a larger mailbox, an old Outlook archive file or a basic hosting account each have a published price.
The only person who had admin access left, or lost their phone. Can you get us back in?
Usually yes, and the job is $395. We open the support case with Microsoft or Google, provide the proof that you own the domain and the identity documents they ask for, and when access is restored we secure the account properly: a working admin login with the phone code, a stored emergency login, and every admin listed. Recovery takes one to five days because Microsoft or Google sets the pace. If they refuse, $150 is kept and the rest returned, because the outcome is their decision and a full guarantee would be a promise we cannot keep. If you have also lost access to where the domain is registered, that recovery runs first and is priced per registrar.
What is the difference between the health check and the security baseline?
The health check is a report and the baseline is the work. For $395 the health check examines one account of up to fifty users without changing anything and writes down who has the phone code on, who holds admin rights, whether the old sign-in is still open, any rules forwarding mail out, what is shared with whom, Microsoft's own security score, whether the licences fit and whether a backup exists, with the fixes ranked and priced. Do we need Business Premium?
Only if you want sign-in rules: for example, blocking sign-ins from countries you never work from, or allowing only company-managed computers to sign in. Those need the Business Premium licence, or the Microsoft add-on that carries those rules (Entra ID P1). On Business Basic or Standard the baseline uses Microsoft's standard security defaults, which enforce the phone code and block the old sign-in but cannot be tailored. If an upgrade is needed, the licences are billed at cost and there is no labour charge for the change.
Can you set up our laptops so a new hire opens the box and signs in?
Yes. For Windows that is $1,795 for up to ten computers, using Microsoft's own management tools (Intune and Autopilot); for Macs, iPhones and iPads it is $1,395 using Apple Business. The computer arrives, the person signs in with their company account, and the encryption, the updates, the protection, the programs and the rules apply on their own. Apple Business replaced Apple Business Essentials and Apple Business Manager on 2026-04-14 and includes device management, so a small Apple office no longer needs to pay for separate management software. Each device from eleven to twenty-five is $45. Computers bought in a shop rather than from a business reseller are registered by hand, included.
Should we turn on Copilot or Gemini?
Only after you know what the assistant will be able to read, because it can read everything each person can, including a folder someone shared with the whole company by mistake years ago. The readiness job, $995 for up to twenty-five users, reviews what is shared across SharePoint, OneDrive and Teams or Google Drive, fixes the biggest risks found with three hours of fixes included, labels the most sensitive files, checks the licences and writes a plan for a small trial. Our files are on an old server or in a Dropbox. Can you move them to SharePoint?
Yes. The files job is $1,295 for up to ten users and 100 GB, with $150 per extra 100 GB, and it is quoted after an inventory because how the folders are organised matters more than how much there is. We design up to three shared areas and decide who can see what, move the data, replace the old drive letters so each person's Desktop and Documents follow them, and show the team where everything went. A server in the office needs one PC left on to do the copying and has a published extra, as do extra shared areas, a department-by-department access design, and files with names too long for the cloud.
Does the website's contact form keep working after we move our email?
Yes, as long as it is on the list of things allowed to send mail in your name, and that is one of the first things we check. The contact form, the booking page, the invoicing tool and the scanner all send mail from your domain, and each one has to be registered as an allowed sender after the move or it starts landing in spam. Half of those are usually built by a web agency, which is why a software company doing the move helps: we read the form's settings rather than guessing at them.
Can the setup, the training and the documents be in Spanish?
Yes. Setup and support are delivered in English and Spanish, training sessions are run in either language, and the handover document and the health check report are written in the language your office works in. A Spanish training session on the password manager rollout is a published extra; everything else is simply the language you prefer.
