Payment: jobs under $1,000 are paid on completion; $1,000 and over take 50 percent up front. Workstations are paid in full, or on approved terms, before parts are ordered. Mid-month changes: each invoice uses the month's highest user count, users added after the 15th start the following month, and there is no daily proration. Fair use is reviewed when a client averages over 1.5 support hours per user a month for three months running; support is never cut off. Every plan carries a 12-month rate lock, then any change follows the consumer price index (CPI) and is capped at 4 percent a year.

Nothing extra without a written yes
By email or a click on the invoice page. A change order (a short note asking to add work) says what was found, why it matters and the published price, and declining is always allowed and recorded.
Unlisted work over 30 minutes gets a written fixed quote
Estimated hours at $125 remote or $150 desk-side, or the job's effective rate, written down before anyone starts.
The safety margin lives inside the price
Fixed prices carry a margin over the typical hours a job takes, and that margin never appears as a line on the invoice. A job that runs long is our problem, not yours.
Work nobody can size in advance is hourly, with a written ceiling
Getting back into a locked account, cleaning a mailbox someone broke into and security emergencies cannot honestly be priced in advance, so they run by the hour against a maximum figure you approve first.
A setup we have never seen starts with a paid check-up
The $395 Microsoft 365 security check-up, credited in full if a plan starts within 60 days.
Waiting on you pauses a job, then closes it
A job pauses after 10 business days of waiting on something only you can provide, and closes after 30. It can be reopened; it is not left open forever.

How to read these prices
The structure is simple and it is the one that holds up over years: people are charged per user, hardware cover per device, anything outside the bundle by the hour, onboarding as its own phase, fixed multipliers for after hours, a written scope list, and a yearly price rule in the contract. Every line on this page follows one of those rules, so a quote is looked up here rather than negotiated.
These are not the lowest prices in town, on purpose. There is no discount on regulated plans, emergencies, after hours, the minimum for a visit or added work, because those are exactly the places where a low headline price gets recovered later. Managed Office is $149 per user because that is where the plan stays sound as the number of clients grows, not because it is the number that wins a comparison table.
Licences, hardware and carrier fees are billed at cost, on their own lines, and are never part of a price on this page. A Microsoft licence inside a "per user" fee is a price you cannot compare; a licence on its own line is one you can. The same reasoning puts the workstation parts-sourcing line at a published 8% on its own line rather than hidden in the parts.
Every plan carries a 12-month rate lock. After that, any change follows the consumer price index and is capped at 4 percent a year, which is written into the agreement rather than announced by letter.

When do we pay, and is there a deposit?
Fixed-price jobs under $1,000 are paid on completion. Jobs of $1,000 and over take 50 percent up front and the balance on completion. A clean-up of an environment found out of standard at onboarding also takes 50 percent up front and is invoiced before the monthly plan fee starts. Custom-built workstations are different because parts are bought for you: they are paid in full, or on approved leasing terms, before parts are ordered, and the quote is valid for 72 hours. Monthly plans are billed monthly in advance, or for the year in advance on the prepaid option.
What happens when something extra turns up in the middle of a job?
The quote you received lists its assumptions, and each assumption points at the published variation that applies if it proves false. When something turns up, you get a short change order (a note asking to add work) before any further work: what was found, why it matters, the published price from this page, and a choice to approve or decline. Email or a click on the invoice page counts as approval. Declining is always allowed and is recorded, and the original scope is still delivered. Nothing extra is ever done first and explained afterwards.
Can we get a fixed quote?
Yes, for anything on this page and for most things that are not. Every fixed-price job already is one. For unlisted work that will take more than 30 minutes, you receive a written fixed quote built from estimated hours at $125 remote or $150 at your office. The exceptions are the genuinely unknowable jobs, such as recovering a locked-out account, cleaning a compromised mailbox or responding to an incident, which run by the hour against a maximum figure you approve first, because a fixed price on those would either be dishonest or padded.
Do the prices include Microsoft or Google licences?
No, deliberately. Licences, hardware and carrier fees are billed at cost on their own lines and are never part of a plan or job price. A licence folded into a per-user fee is a number you cannot compare with anyone else's, and it hides a price rise whenever the vendor raises theirs. On a plan, your Microsoft 365 or Google Workspace subscription sits on its own agreement in your name, so you keep it if you leave.
Is there a discount for a 12-month term?
Two things change on a 12-month agreement. The onboarding fee, which is otherwise one month of the plan fee, is waived. And if you prepay the year, Managed Office drops from $149 to $134 per user per month, which is 10 percent off. The month-to-month option stays available at the standard price, and Help Desk Micro is month to month either way. Ending a 12-month agreement early costs the waived onboarding fee plus one month's fee.
What is the onboarding fee and when is it waived?
Onboarding is one month of the plan fee, covering the documentation, putting every account in your name, the small monitoring program on each computer (the agent), the standard security settings and the response times set out on the IT services page. It is waived on a 12-month agreement, and on Help Desk Micro it is free once you stay 3 billed months ($299 if the plan ends sooner). Billing for the plan starts when onboarding ends, not when the agreement is signed. If onboarding finds an environment out of standard, that clean-up is a separate fixed-price job and is quoted before anything is done.
What if we cancel a plan?
Every plan ends with 30 days' written notice, and the notice period is billed. On Help Desk Micro, setup is free once you have been billed for 3 months; if the plan ends sooner, counting the notice period, a $299 setup fee applies, and moving up to Managed Office is not cancelling. On a 12-month Managed Office agreement, ending early means the onboarding fee we waived becomes due plus a cancellation fee of one month's fee, both at the user count on your last invoice: $1,490 for 5 users, $2,980 for 10. A 12-month agreement renews automatically for another 12 months unless you give 30 days' written notice before it ends, and we remind you 60 days before. A prepaid year is not refunded. There is no fee if we end the agreement. Unpaid invoices can be sent to collection. Month-to-month Managed Office has no cancellation fee beyond the notice. When you leave, the accounts, admin logins and documentation are already yours; we remove our own access and confirm it in writing, and any further clean-up is for your next provider.
What if our own staff caused the problem, or the fix is waiting on a vendor?
When a problem was caused by someone on your side (for example a clicked phishing link, a deleted file, a changed setting, software installed without approval or a shared password), we say so plainly in writing, in the ticket and in the monthly report, and we still do everything we reasonably can to fix it. Some work depends on others: software makers, Microsoft or Google, phone carriers, parts suppliers and manufacturers. When a job is waiting on one of them, we tell you what we are waiting for and keep you updated; the completion date moves by the time spent waiting, and we are not responsible for delays caused by third parties or by software or parts that are not yet available.
What does fair use mean on an unlimited plan?
Inside its scope, support on a plan is unlimited and nobody counts tickets. Fair use is reviewed only when a client averages more than 1.5 support hours per user a month for three months running, which usually means something structural is wrong, such as failing hardware or a process that generates the same request every day. The review is a conversation about fixing the cause, and support is never cut off while it happens.
What if workstation parts change price after we pay?
Up to 3%, Appluex absorbs it. Parts are ordered within one business day of payment, so the window is short, and most moves fall inside that. Above that you choose: pay the difference, take an equal or better part, wait for the price to settle, or cancel and keep the full payment as Appluex credit for any service or another build. There are no cash refunds, and once parts are ordered the order cannot be cancelled. No part is ever downgraded without your written approval. The parts-sourcing line of 8% exists to pay for exactly this.
Why is the price per user rather than per computer?
Because the work follows the person: their sign-in, their mailbox, their questions and their devices. A user is a named person with an enabled company sign-in on the first of the month and is covered on up to 3 devices, so a laptop, a phone and a tablet are one user. Shared mailboxes such as info@, and logins used only by software, are free. The exceptions are priced per device because the work is about the machine: a shared front-desk computer at $45 a month, a server still on site at $175, and the high-powered design and video computers under Workstation Care at $99 per machine.
