Naples is Collier County's professional centre. Its law firms and accounting firms, along with the investment advisers, family offices, title companies, brokerages and property managers who look after houses for owners away eight months of the year, sit between Fifth Avenue South, Pelican Bay and the Immokalee Road corridor. Add the hospitality that serves the season from January to April, the yacht brokers on the water, and the concierge and specialist medical practices that follow the clientele, and you have a market where the client notices when something does not work.
What those businesses share is not an industry but a transaction. A closing, a capital call, an escrow release, a yacht purchase, a contractor's invoice for the house renovation: money leaves on a wiring instruction that arrived by email. The attack that lands here is not a virus. It is a message from a mailbox a criminal has broken into, the broker's, the title agent's or the client's own, that changes the account number the day before the funds move. And the regulators have caught up: since 3 June 2026 the SEC's Regulation S-P, its rule on protecting client information, has required smaller investment advisers to have a written plan for a breach, to notify clients, and to check on the vendors who hold client data. The FTC Safeguards Rule, a federal data security rule, requires accounting, tax and lending firms to keep a written security plan with a named person responsible for it.

What do you do about hurricane season, and does the season of residents change it?
We do the hurricane work in May and June, after the residents have left, because that is the one window when a Naples firm can do it without a client in the lobby. Our practice management or document system still runs on a Windows Server 2016 in the office. What is the plan?
Keep it safe while it stays, and decide its replacement before 12 January 2027. That is when Windows Server 2016 stops getting security fixes, after which an adviser or a law firm cannot defend it to a regulator or an insurer. On a plan the server is covered at $175 a month for monitoring, updates, protection and checking the backups while it lasts. During setup we write the plan with three routes and a fixed price on each: the vendor's cloud edition, a server we host for you, or a replacement in the office, with the document system and its connections tested before the switch. Retiring the old machine once its data has a tested new home is $495.
Can you install the cameras, the door access and the cabling for our new office on Fifth Avenue?
No. Cabling, cameras, door access, alarms and anything electrical are licensed trades in Florida, and no Appluex proposal will ever include them. We refer a licensed low-voltage contractor who contracts with you directly and coordinate with them so the outlets they install land on the network we set up. What we do handle is the internet box, the network box and the Wi-Fi at your main office, included on Managed Office, and the move plan so every desk, phone and printer works on the first morning in the new space.
Naples firms are used to paying more. Is this a discount, and what is the catch?
It is not a discount, and there is no Naples premium either. Almost nobody in Collier publishes a price, and a provider that quotes a small office a monthly lump sum rarely says what it comes to per user. Managed Office is $149 per user, $134 prepaid, the same as in Miami, with protection on every computer, backup, after-hours cover and the two-hour response included rather than sold as a higher tier. The catch, if it is one, is that the price is published, so the proposal for your headcount is arithmetic you can do yourself.
We manage vacation rentals and a small hotel. What does the season do to IT, and what do you do about it?
From January to April the staff doubles, the booking and guest-messaging systems take the year's load, and the lobby tablet and the housekeeping phones are suddenly critical. We plan for it in the autumn: seasonal hires set up at $129 each with the right access and nothing more, closed out at $99 the day they leave in May, the till and the booking system behind a phone code on sign-in because hijacked hotel software accounts are a known pattern, and a second internet connection so a cable outage in February does not close the front desk. The capacity is bought for the season and released after it.
Our cyber insurance renewal asks about MFA, backups and a response plan. Can you help us answer it?
Yes, and the order matters: close the gaps first, then answer. The questionnaire review is $595 for up to 10 users and $25 per user after that. We go through the insurer's questionnaire item by item, fix what is not yet true (a phone code on every sign-in, tested backups, protection on every computer, a written response plan), collect the proof, and give you answers you can sign. A claim denied on an application that overstated the controls is the expensive outcome, and in a firm that handles client money it is also the one the regulator reads.
